Privacy Policy

Last updated: November 4, 2026
Last changed for Preview testers: November 4, 2026

This policy explains what Realize AI collects, why, who handles it, how long it's kept, and what you can ask us to do with it. We've tried to write it the way we'd explain it to you in person.

It has two parts, because visiting our website and testing the Preview are different things:

  • Part 1, visitors: our website at realizeai.co, its forms, and the emails we send people who give us their address.
  • Part 2, Preview testers: the Realize AI Preview, the invite-only beta. What testers do in the Preview is handled more strictly: the Preview's pages carry no tracking, and Microsoft is the only company that processes it for us.

If you're both a visitor and a tester, each part covers its own information.

Who we are

The website and the Preview are run by Hardy Ventures LLC, a Wyoming limited liability company doing business as Realize AI ("Realize AI", "we", "us"). We decide what's collected and how it's used, so under privacy law we're responsible for your information (the "controller").

For anything in this policy, email Support@RealizeAI.co.

This policy doesn't cover Microsoft services you use on your own account, other websites we link to, or what LinkedIn and other platforms do on their own sites.

Part 1. Visitors to our website

1. What we collect

When you ask for an invite. Your first and last name, work email, company, your role, your company's size and where you are with Copilot. If you add them on the next screen: your LinkedIn profile, how you found us, and whether you'd like announcements.

When you sign up for updates. Your email address, when you signed up and confirmed it, and when you unsubscribe.

When you contact us. Your name, email, what you're reaching out as, and your message. Emails you send us directly, and our replies. If you book a conversation, what you enter in Microsoft Bookings (your name, email, the time, and anything you add), and notes we may take when we speak.

What we look up. To review an invite request, we may look at the LinkedIn profile you gave us and your company's public website.

When you browse. Our hosting and security services record technical details of each visit, such as your IP address, browser and device type, and the pages requested, to deliver the website and keep it secure. Before a form is sent, a bot check reads technical signals from your browser to tell people from bots.

Analytics and advertising. Analytics that use no cookies or similar storage may count visits and pages without identifying you. Anything more depends on what you choose in the cookie banner, once there is one (section 8).

Our emails. Our emails about Realize AI may tell us whether they were opened and which links were clicked.

What we ask you not to send us. Health details, government ID numbers, bank and card numbers, or other sensitive personal information about anyone.

2. How we use it

  • To review invite requests and send invites. We read every request, and a person at Realize AI decides who's invited.
  • To reply to you and do what you've asked, such as a conversation.
  • To email you about Realize AI. If you give us your email in a form, we may send you emails about Realize AI and the Preview, such as a follow-up on your request or an update. Every one has an unsubscribe link, and unsubscribing stops them.
  • To send updates, if you signed up for them and confirmed your address.
  • To understand how the website is used, so we can improve it.
  • To measure our advertising and reach people with it on platforms such as LinkedIn, only if you accept advertising cookies.
  • To keep the website secure, and stop spam and misuse.
  • To meet legal obligations.

We don't sell your information.

3. Our legal basis (for people in the EU and UK)

  • Legitimate interests. For reviewing invite requests, replying to you, emailing you about Realize AI after you've given us your email (you can object at any time by unsubscribing), keeping the website secure, and analytics that set no cookies (section 8).
  • Consent. For updates, and for the analytics and advertising cookies you accept in the banner. You can withdraw it at any time.
  • Legal obligation. Where the law requires us to keep or disclose something.

4. Who handles it

We use service providers of these kinds:

Kind of service What it does for us
Hosting and security Runs the website, keeps its logs, and checks forms for bots
Email Sends our emails, and holds our mailboxes and Bookings
An email list service Holds the updates list and sends updates
Analytics Counts visits and shows which pages are read and where visitors came from
Advertising and social platforms, such as LinkedIn Measure our ads and show them to people who visited the website, only if you accept
Business tools Help us keep track of invite requests and conversations

Today, Microsoft provides our hosting, email, mailboxes and Bookings. When we add a service that sets cookies, the banner's settings name it (section 8).

Service providers handle your information only to do their job for us, under contracts that require that. Advertising and social platforms are different: they also use what they collect under their own privacy policies, which is why they load only if you accept.

Other disclosures. We'd disclose information only if the law requires it, to protect someone's safety or our legal rights, or as part of a merger or sale of the business, where this policy would continue to apply to it.

Security. What you send through the website is encrypted on its way to us, and only authorized Realize AI personnel and the services that handle it for us can open it. No system is perfectly secure; if a breach affects your information, we'll tell you as the law requires.

5. Where it's processed

Mostly in the United States, where we and most of our service providers operate; some services may process it elsewhere. When information about people in the EU or UK goes to the US or another country, we rely on the safeguards the law provides, such as the EU–US Data Privacy Framework or standard contractual clauses.

6. How long we keep it

What How long
Invite requests and contact messages, our emails about them, and Bookings details and notes Deleted two years after you last wrote to us, sent a form or spoke with us, or sooner if you ask
The updates list Until you unsubscribe
After you unsubscribe, or ask us to delete your information Your email address and the date, kept on a do-not-email list for as long as we send email, used only so we don't email you again
Hosting and security logs 30 days for our own logs. A security service, such as the bot check, keeps its own as its terms set
Analytics Counts of visits and pages, kept as long as they're useful. Cookies last as the banner's settings show for each service
Database backups 7 days, so deleted records can remain in a backup for up to 7 days

7. Your choices and rights

Emails. Every email about Realize AI has an unsubscribe link. You can also email Support@RealizeAI.co.

Cookies. Once there's a banner, you can accept, reject or choose by kind, and change your mind at any time from "Cookie settings" in the website's footer. If your browser sends a Global Privacy Control signal, we treat it as "reject" for advertising.

Your rights. Wherever you live, you can ask us what information we hold about you, to correct it, or to delete it. Email Support@RealizeAI.co. We may ask you to confirm the request from the email address you gave us. If you ask us to delete your information, we keep your email address on the do-not-email list (section 6), so we don't email you again. We'll answer within 30 days, free of charge. If we need longer and the law allows it, we'll tell you why.

In the EU and UK you can also object to or ask us to restrict how we use your information, withdraw your consent, and complain to your data protection authority.

In California, the information we collect from visitors falls into these categories: identifiers (your name, email address and IP address), professional information (your company, role and company size), and internet activity (how you use the website). It comes from you, from your browser, and from the LinkedIn profile and company website we may look at. We use it for the purposes in section 2, disclose it to the kinds of service providers in section 4, and keep it as section 6 says. We don't sell personal information. If you accept advertising cookies, letting an advertising platform collect information on our website may count as "sharing" it for cross-context behavioral advertising; you can opt out by rejecting advertising cookies or with a Global Privacy Control signal. You can use an authorized agent to make a request, and we won't treat you differently for using your rights.

8. Cookies and similar technology

Kinds we may use:

  • Strictly necessary. To deliver the website, keep it secure, run the bot check, and remember your banner choice. These are always on.
  • Analytics. To count visits and see which pages are read and where visitors came from. Analytics that use no cookies or similar storage, and don't identify you or follow you across sites, may run without the banner. Analytics that set cookies run only if you accept them.
  • Advertising and social. Such as the LinkedIn Insight Tag, which measures our ads on LinkedIn and lets us show ads there to people who visited. These run only if you accept them.

The banner. We show a banner once we add a service that sets cookies the law requires your consent for; until then there's nothing for it to control. Once we do, every visitor sees it, wherever they are: accept all, reject all, or choose by kind. Nothing that needs your consent loads before you choose, and rejecting is as easy as accepting. The banner's settings name each service, what it does and how long its cookies last.

The Preview's pages load none of the analytics or advertising services above (section 10).

Part 2. Preview testers

9. What this part covers

The Realize AI Preview, the invite-only beta at preview.realizeai.co (and wherever we move it), and the emails we send you about the Preview. If you asked for an invite through our website, that request is covered by Part 1.

10. What we collect

When we invite you. Your email address, whether the invite is active or withdrawn, and the dates it was sent and changed.

When you sign in and agree. The date you agreed to the consent page and which version of it you agreed to. Records of the sign-in links and sessions we issue you, which store a scrambled form of each link (a one-way hash), never the link itself. A record of each sign-in email we tried to send you.

What you tell the Preview.

  • Your conversations with the Preview.
  • The statements recorded from them: what you said about how work runs at your company, the role of the person it came from, and when; and the few readings of ours, marked as ours.
  • Each version of the summary of your conversation, and your output (the redesign and its recommendations).
  • Session details: when each session ran, which version of the Preview it used, and safety events, such as a message the Preview refused.
  • Feedback you give about the Preview.
  • The ways you choose to stay involved, if any.

If you contact us or book a call. Emails you send to Support@RealizeAI.co, or to Preview@RealizeAI.co to ask for an invite, and our replies. If you book a call with us, what you enter in Microsoft Bookings (your name, email, the time, and anything you add). If you speak with us, we may take notes.

Technical information. Our service logs record the random IDs we assign, timings, outcomes and errors, so we can keep the Preview working. They don't contain your email address or anything you write.

Cookies and browser storage. On the Preview's pages we use one cookie, which keeps you signed in for up to four hours. Your browser also keeps a note that you agreed to the consent page, which counts for up to four hours (so you don't have to check the box again), and, in the current tab only, what's needed to resend your sign-in email. The Preview's pages use no analytics, advertising or tracking cookies, and no third-party scripts. Fonts are served from our own site. If you also visit our website, Part 1 applies there.

What we ask you not to give us. Anything your employer treats as confidential; people's names (describe people by role); and sensitive personal information about anyone, such as health details, government ID numbers or bank and card numbers. If something looks confidential, the Preview will check with you.

11. How we use it

  • To run the Preview. To hold the interview, record what you say, produce your redesign, and send your summary.
  • To sign you in and send the emails you need. Sign-in links, your summary PDF and confirmation that a deletion is done.
  • To review sessions. An AI reviewer reads every session, and authorized Realize AI personnel can read any of them. We use what we find to improve the Preview's interview, its redesign guidance and the product's method. The lessons we keep name no people, companies or customers.
  • To keep the Preview safe. To apply usage limits, catch misuse, and end sessions that break the Terms of Use.
  • To respond to you and do what you've asked, such as a call or updates.
  • To email you about Realize AI. We may add the address we invited to our email list and email you about Realize AI and the Preview. Every email has an unsubscribe link. On that list, your address is handled as Part 1 describes (sections 4 and 6).
  • To meet legal obligations.

We don't sell your information, use it for advertising on other sites or platforms, or use it to train AI models. Nothing one tester says is shown to another. We don't make decisions about you by automated means that have legal or similarly significant effects; a session can be ended automatically for repeated misuse, and a person at Realize AI decides whether an invite is withdrawn.

12. Our legal basis (for people in the EU and UK)

  • Consent. For what you tell the Preview and our review of it. You give it by agreeing to the consent page, and you can withdraw it at any time by asking us to delete your data (section 15).
  • Legitimate interests. For signing you in, keeping the Preview secure, preventing misuse, replying to you, emailing you about Realize AI (you can object at any time by unsubscribing), and keeping a record that a deletion happened.
  • Legal obligation. Where the law requires us to keep or disclose something.

13. Who processes it

For the Preview, Microsoft is the only company that processes your information for us. It does so as our service provider, under its terms for business customers.

Service What it does Where
An OpenAI model sold by Microsoft, through Microsoft Azure Holds the interview, produces your output, and reviews sessions United States (Data Zone US)
Azure Cosmos DB Stores your records United States (East US 2)
Azure Communication Services Sends our emails to you United States, except bounced addresses (section 14)
Azure hosting and monitoring Runs the Preview and keeps the service logs United States
Microsoft 365 Our Support@RealizeAI.co and Preview@RealizeAI.co mailboxes, and Bookings if you book a call United States

What Microsoft says about the AI model. Microsoft says what's sent to the model and what it returns isn't available to OpenAI and isn't used to train AI models. We ask Microsoft not to store the model's responses, and we upload no files to it. The Preview runs on Microsoft Azure. It isn't run by OpenAI.

Microsoft's abuse monitoring. Microsoft checks what's sent to and from the model for misuse. If its classifiers flag a message or a response as harmful, or it's part of a pattern that looks like abuse, Microsoft may store it in the United States for review by authorized Microsoft employees. Microsoft's documentation doesn't say how long it keeps this. It's outside our systems, so deleting your data with us doesn't reach it.

Other disclosures. We'd disclose information only if the law requires it, to protect someone's safety or our legal rights, or as part of a merger or sale of the business, where this policy would continue to apply to it.

Where it's processed. In the United States, where we and Microsoft's services for the Preview operate. If you use the Preview from outside the US, your information comes to us in the US, where privacy law may differ from yours.

14. How long we keep it

What How long
Your invite, consent records, conversations, statements, outputs, session details, feedback, stay-involved choices and records of sign-in emails Deleted no later than 90 days after your last activity. Activity means signing in, sending a message, making a correction, giving feedback or asking for your summary
An invite you never use Deleted no later than 90 days after it was sent
Sign-in links and sessions Deleted automatically, within 31 days of being issued
Your summary PDF Emailed to you. We don't keep a copy
Service logs 30 days
An email address that bounces If an email to you bounces because the address doesn't exist, Microsoft's email service may hold that address on a list it keeps worldwide for up to 14 days, to stop repeat sends
Emails with us, and Bookings details As long as we need them to reply and follow up, and deleted when you ask us to delete your data
Your email address, if we add it to our email list Until you unsubscribe or ask us to take you off (Part 1, section 6)
Database backups Our database keeps encrypted backups for 7 days, so deleted records can remain in a backup for up to 7 days
Microsoft's abuse monitoring Set by Microsoft and not stated (section 13)

15. Deleting your data

You can ask at any time, in the chat or by emailing Support@RealizeAI.co. We'll delete everything listed in the first row of the table above, our emails with you and any Bookings details, and your invite request if you sent one through our website. We'll take you off the invite list unless you'd like to come back, and email you when it's done, within 30 days of your request. If you're on our email list, you stay on it until you unsubscribe or ask us to take you off.

What remains afterward:

  • Review notes written with nothing that identifies you, your company or your customers.
  • A record that a deletion happened, with counts of what was deleted and no name, email or other identity.
  • For up to 7 days, encrypted backups (section 14), and anything held by Microsoft's abuse monitoring (section 13).

16. Your rights

Wherever you live, you can ask us:

  • what information we hold about you;
  • to correct it;
  • to delete it.

Email Support@RealizeAI.co. To protect you, we reply to the email address we invited, and we may ask you to confirm the request from it. We'll answer within 30 days, free of charge. If we need longer and the law allows it, we'll tell you why.

To correct what you've told the Preview, say so in the chat. The Preview records your correction and works from it; the earlier statement stays in your record, marked as replaced, until your data is deleted. If you want the earlier statement gone, ask us to delete your data.

In the EU and UK you can also object to or ask us to restrict how we use your information, withdraw your consent (which we act on by deleting your data), and complain to your data protection authority.

In California, the information we collect from testers falls into these categories: identifiers (your email address and the IDs we assign), professional information (what you tell us about how work runs at your company), and internet activity (sign-in records). It comes from you and from our invitation to you. We use it for the purposes in section 11, disclose it only to Microsoft as our service provider (and, if we add your address to our email list, to the email services in Part 1), and keep it as section 14 says. We don't sell or share personal information for cross-context behavioral advertising, and we don't use sensitive personal information to infer anything about you. You can use an authorized agent to make a request, and we won't treat you differently for using your rights.

17. Security

Your information is encrypted in transit and at rest. Sign-in links work once, expire after four hours and are stored only in scrambled form. Each tester's records are kept separately, and the Preview reads only your own records when it talks to you. Only authorized Realize AI personnel can open the stored records. No system is perfectly secure; if a breach affects your information, we'll tell you as the law requires.

Both parts

18. Children

The website and the Preview are for people 18 and over. We don't knowingly collect information from anyone under 18, and we'll delete it if we learn we have.

19. Changes to this policy

If we make a material change, we'll update "Last updated" at the top.

If a change affects the Preview or its testers, we'll also update "Last changed for Preview testers", and the next time you sign in to the Preview we'll ask you to agree again before you continue. Until you do, what you gave the Preview stays under the version you agreed to.
